User Manual

The ultimate digital portal for your ministry. Read through this manual to understand how to fully harness the platform for member management, seamless communication, and seamless ministry administration.

1. Getting Started

Altar Suite GH is designed to provide ministries with a unified, secure platform for all administrative operations. To begin, administrators must create an account. Upon completing signup, you are automatically redirected to the verification portal (/verify/). Simply keep that browser tab open, open your email inbox to find the confirmation message, and click the verification link. The verification page will automatically detect the confirmation in real time, activate your ministry profile, and seamlessly redirect you to the Login page. Once logged in, you will be granted full access to the Dashboard to establish your ministry's digital foundation.

Note: SMS functionality requires an approved Sender ID which will be assigned by our team shortly after registration.

2. Dashboard Overview

Member Profiles, Maps & Payments

Click the Manage button on any member row and select View Profile to access their full profile dialog presented in a clean, non-scrolling 4-column layout on desktop. The Manage dropdown menu also gives 1-click access to Send Message, Edit Member, and Delete Member. Inside the profile, view complete biographical details (Gender, Marital Status, Occupation, Emergency Contact), click the integrated Map ↗ link badge to launch Google Maps in a new tab pre-centered on their GPS Address, and review calculated ages and join durations dynamically formatted using relative time. You can also view a timeline bar chart of their recent transactions, register new payments (welfare, tithes, etc.) with custom date selection, and open a side drawer to search, edit, paginate, or bulk delete their transaction history.

4. Interactive Member Map & Demographics Clusters

Open the map from Members → Manage → Member Map. Visualize your congregation's geographic distribution across Ghana on an interactive map, equipped with intelligent cluster groupings, standard map markers, demographic filters, and quick navigation actions.

5. Unified Messaging Hub & Automated Dispatches

Coordinate all congregational communication through the unified Messaging Hub, consolidating group broadcasts, individual member messages, and real-time automated queues under a single interface.

Bulk Broadcasts

Dispatch announcements to your entire congregation or target specific Departments (e.g. Choir, Ushers, Men's Fellowship) with personalization chips ({firstname}, {lastname}, {fullname}).

Direct Member SMS

Compose and send personalized single SMS messages to individual members or custom phone numbers with instant balance preview.

1-Click GSM-7 Text Sanitizer & Unicode Warning

When drafting messages or pasting text from Microsoft Word, WhatsApp, or Google Docs, special characters like smart quotes (“ ”), curly apostrophes (’), em dashes (—), or the Ghana Cedi sign (₵) can inadvertently trigger UCS-2 (Unicode) encoding. Unicode encoding shrinks SMS part capacity from 160 characters down to 70 characters, doubling or tripling dispatch costs.

  • Real-Time Detection: The character counter highlights unsupported characters and flags them with an alert badge (e.g. ⚠️ Unsupported chars: “ ”) while recalculating page counts in real time.
  • 1-Click Sanitize GSM-7: Click the Sanitize GSM-7 button in the SMS composer to instantly convert smart quotes to standard quotes ("), curly apostrophes to ('), em dashes to hyphens (-), non-breaking spaces to standard spaces, and ₵ to GH₵, restoring 160-character page limits immediately.

Pre-Flight Dispatch Confirmation Modal

To eliminate accidental credit depletion and ensure full transparency before dispatches fire, every bulk broadcast or direct SMS is intercepted by an interactive Dispatch Confirmation Modal:

  • Encoding & Rate Analysis: Displays whether the message is standard GSM 7-bit or UCS-2 (Unicode) rate.
  • Total Unit Cost & Balance Simulation: Displays total required SMS credits and calculates your remaining balance after dispatch (highlighting insufficient balances).
  • In-Modal Sanitizer: If non-GSM characters are detected, a 1-click Sanitize Text & Cut Cost button is provided right inside the modal to optimize the message before confirming dispatch.
  • Message Preview: Live preview of the formatted message text prior to final delivery.

Saved SMS Template Library

Click the Templates Library button on the compose card to open your saved SMS templates picker. You can store up to 6 custom templates with dynamic placeholders like {name} and {date}. Selecting a template automatically populates the text box and inserts member names dynamically during dispatch.

AI-Powered Message Assistant

Enhance your ministry communication with built-in AI assistants:

  • Refine: Instantly polish your message to sound more inspiring, pastoral, and welcoming.
  • Magic Draft & Tone Selection: Turn raw, unstructured bullet points into a beautifully formatted ministry broadcast in seconds. Choose from 7 faith-tailored tones (Warm & Welcoming, Encouraging & Inspiring, Urgent & Important, Formal & Official, Celebratory & Joyful, Solemn & Prayerful, or Youth & Vibrant) to automatically align the message's vocabulary and energy with your occasion.

Automated Recurring Dispatches Engine

Automate regular devotional messages, weekly service reminders, and recurring monthly ministry announcements:

  • Frequency Options: Choose between One-Time Dispatch, 🔁 Daily Automated (Repeats every day), 🔁 Weekly Automated (Repeats every week), or 🔁 Monthly Automated (Repeats every month).
  • Live Schedule Previews: The scheduling dialog dynamically displays the exact date, day of week, day of month, and 12-hour time of the initial run and clarifies recurrence behavior.
  • Immediate Unit Reservation: SMS units for each dispatch occurrence are automatically deducted and reserved from your balance upon scheduling.
  • Automatic Balance Safeguards: When rolling forward to the next recurring occurrence, the system checks your available SMS balance. If units are insufficient, the recurrence chain is safely paused/cancelled and an alert notification is dispatched.
  • Scheduled Queue & 1-Click Cancellation: Review pending, sent, and failed dispatches in the real-time Scheduled Queue table with 🔁 Daily, 🔁 Weekly, and 🔁 Monthly badges. Cancelling a pending message instantly refunds all reserved SMS units back to your balance.

Recharge SMS Units & Plans

SMS units and your monthly subscription are paid securely through Paystack (Mobile Money or Card). Choose a predefined SMS package or enter a custom amount for units.

Subscription: billing is monthly only and priced by the number of members in your directory: Seed up to 50 members (GH₵ 45), Growing 51–150 (GH₵ 70), Established 151–300 (GH₵ 105), Large 301–600 (GH₵ 160) and Cathedral 601+ (GH₵ 160 + GH₵ 20 per extra 100). The Top-up page shows your current plan, member count and renewal date; Renew for 1 month becomes available 7 days before your plan ends. If you have just outgrown your tier by up to 10%, that month stays at your current price.

6. Event Planning & Attendance

Keeping track of ministry programs, recurring services, and congregation presence is streamlined with the Events module.

  • Create Events & Recurrence: Add upcoming services, meetings, and programs via the primary New Event button. Specify Event Title, Category (Worship, Study, Outreach, Youth, Prayer), Date, Time, Location, and Recurrence Frequency (One-Time, 🔁 Weekly, 🔁 Bi-Weekly, or 🔁 Monthly).
  • Recurring Events Engine: Recurring events display a dynamic schedule preview box upon selection. As each occurrence passes, the system automatically rolls forward and generates the next upcoming occurrence with date-advanced scheduling.
  • Two-Tier Series Management: For recurring event series, administrators can choose between Delete (removes only the current occurrence) and End Series (permanently removes the entire recurring series and its attendance history).
  • Side-by-Side Card Layout: Event cards feature a clear side-by-side design: event information (category tag, recurrence chip, title, calendar date/time, and pin location) on the left, paired with a compact 2-column actions grid on the right (Attendance, Attendees, QR Code, Edit, Delete / End Series).
  • "Manage ▾" Menu: Access destructive cleanup actions (Delete Past Events and Delete All Events) safely housed in the page header dropdown.
  • Organization: The system automatically sorts events into Upcoming and Past categories.

Event Attendance Tracking & Summary

Monitor congregational presence for each of your services or programs with the integrated Attendance system:

  • Attendance Performance Summary Bar: Review top-level metrics at the top of the Event Attendance page: Average Service Attendance, Peak Event Check-in (highest program check-in name & count), and Average Check-in Rate %.
  • Attendance Check-In: Select any upcoming or today's event from the dropdown, search for a member by their full name, and click Check In. The interface is optimized with a search-first flow and automatically clears and refocuses the input field to prepare for the next check-in.
  • QR Code Self Check-In: Click the QR Code button on any event card to generate an event QR code. Display or print the QR code at venue entrances—members can scan it on their smartphones to open the self check-in page (/checkin/?event=...) and verify their arrival seamlessly.
  • Attendance Sidebar Drawer: Click the Attendees button on any event card to slide out a panel displaying all checked-in members with initial-based avatars, formatted check-in timestamps, and an inline search box to filter the attendee list on the fly.
  • Direct Event-to-Attendance Jump: Click the Attendance button on any event card to instantly switch to the Attendance coordinator with that event pre-selected.

Sunday Service Order & Liturgy Builder

Prevent services from overrunning and keep every ministry department aligned with the integrated Service Clock coordinator:

  • Order of Service Builder: Click the Service Clock button on any event card to open the builder. Configure your service Start Time to automatically calculate total service duration and target finish time. Add, edit, reorder, or delete service segments (Opening Prayer, Praise & Worship, Choir Ministration, Pastoral Announcements, Sermon, Altar Call, Benediction) with assigned ministers, allotted durations in minutes, and scripture or hymn notes.

Data Retention: Event records and attendance logs are retained for one year. Ensure to export your historical event logs periodically for long-term record-keeping.

7. Finance Tracking

Ensure financial stewardship and transparency with the built-in ledger tracking module.

  • Log incoming funds as Tithe, Offering, Welfare/Dues, Pledge, or Other via the primary Add Record button.
  • Log outgoing funds as Expense.
  • "Manage ▾" Action Menu: Access Member Records (individual contribution profiles) or execute category-specific record deletions (via the Delete by Category modal) and Delete All Records inside the protected danger zone.
  • 30-Day Revenue Projection: Located on the left side of the Finances section header, this badge forecasts expected receipts over 30 days based on daily velocity.
  • Month-over-Month Revenue Growth: Positioned in the section header, this badge compares current calendar month revenue vs. previous month (e.g. +14.2% 📈 or -5.1% 📉).
  • Total Revenue: Calculated as the sum of Tithe, Offering, and Other categories.
  • Total Expenses: Derived strictly from the Expense category.
  • Financial Report: Use the "Generate Report" button to get an AI-powered summary of your recent financial activity.
Data Retention: Financial records are retained for one year. Ensure to export your transaction reports or member statements periodically for long-term audits and archives.

8. Church Health Score & Vitality Index

The Church Health Score is a holistic, multi-dimensional ministry diagnostic engine that synthesizes attendance consistency, membership growth, retention ratios, financial stewardship, and ministry department engagement into a unified, actionable 100-point Vitality Index.

Core Health Pillars

Each pillar is scored 0–100 against a realistic target, then combined using the weights below. If a pillar has no data (for example, no finance records in the last 90 days) it is left out and the remaining weights are re-balanced automatically; the weight applied is shown on each pillar card.

  • Attendance Vitality (30%): Combines the share of members who attended in the last 30 days, average service turnout taken from your event attendance counts (65% of members counts as full marks), and how steady turnout is from service to service (needs at least 3 services).
  • Growth & Retention (25%): Retention is the share of members seen in the last 60 days; people who joined in the last 30 days are not counted as lapsed. Growth momentum rewards new members joined in the last 90 days on a smooth curve.
  • Financial Stewardship (20%): Uses the last 90 days only: operating margin (revenue vs expenses), how regularly giving is recorded week to week, and how income is spread across tithes, offerings and other streams.
  • Ministry Engagement (25%): Measures the share of members enrolled in a department (80% is full marks) together with how many ministry teams exist for your congregation size (about one per 15 members).

Trend: the badge under the score compares the current 90 days with the previous 90 days. Only signals with real history (service turnout, dated finance records and join dates) are compared, so a trend never appears unless there is data behind it.

Grade & Status Tiering

  • A+ (90 – 100): Flourishing Sanctuary — Outstanding overall vitality across all spiritual and operational domains.
  • A (75 – 89): Strong & Vibrant — Solid operational health with consistent attendance and reliable stewardship.
  • B (60 – 74): Stable & Growing — Steady baseline with identified opportunities for ministry expansion.
  • C (45 – 59): Attention Needed — Specific vulnerabilities in attendance retention or financial buffers requiring care.
  • F (0 – 44): Critical Care Required — Elevated member drop-off or negative operating margins requiring direct pastoral intervention.

Visual Analytics & Prescriptions Engine

  • Vitality Matrix Radar: An interactive multi-axis radar chart benchmarking current ministry metrics against ideal healthy church benchmarks.
  • Trajectory Tracker: A timeline comparing the previous 90 days with the current 90 days.
  • Pastoral Prescriptions & Smart Action Plan: Automated, intelligent recommendations highlighting high-priority interventions with direct 1-click action triggers (e.g. Launch Care Broadcast, Manage Departments, Review Finances).
  • What-If Vitality Goal Simulator: Interactive reactive sliders allowing leadership to model the projected impact of attendance gains, new members, giving margin goals, and department enrolment. Projections are calculated with the same scoring curves as the live score.
  • Print & Audit PDF Exporter: Click the Audit PDF button to generate an official, high-resolution Church Health Audit Report tailored for board meetings, elders, and pastoral review.

  • Data Privacy & Access Control: Strict account isolation ensures that your ministry's records are protected and only accessible to authorized administrators and moderators.
  • Data Safeguards: High-risk administrative actions (e.g. account deletion, balance adjustments) are restricted to primary owner credentials.
